Information we collect

Information you give us directly. When you fill out a contact form, book a tour, request a quote, apply for membership, or otherwise reach out, we collect your name, email address, phone number, company name (if provided), the nature of your inquiry, and any other details you choose to include. If you become a member, we additionally collect billing information, government ID for key card issuance where required, emergency contact details, and information about your business needs.

Information collected automatically. When you visit the site, we automatically collect device and usage data — IP address (typically truncated for analytics), browser and operating system, referring URL, pages viewed, time on page, and approximate location inferred from IP. This is standard web traffic data used to operate and improve the site.

On-premises information. When you visit the building, common areas are monitored by security cameras for safety and property protection. Key card access logs record entry and exit times for members.

SMS Communications

If you choose to receive text messages from CoLab, you consent to receive conversational and informational SMS messages regarding your inquiries, scheduled tours, coworking memberships, mailbox services, tenant support, billing, account updates, and other customer service communications.

Message frequency varies based on your interactions with CoLab.

Message and data rates may apply depending on your wireless carrier.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, or share your mobile phone number with third parties or affiliates for their marketing purposes. SMS consent is used solely to provide the communications you have requested.

How we use your information

We use the information we collect to respond to your inquiries and schedule tours; to evaluate membership and lease applications; to provide and bill for memberships, room bookings, and other services; to send you operational messages (booking confirmations, building announcements, billing notices); to send relevant marketing about CoLab if you've opted in or are an existing member; to maintain the security of the building and our systems; to analyze and improve the Site and our services; and to comply with legal obligations.

How we share information

We do not sell or rent your personal information. We share it only with: (a) service providers acting on our behalf — hosting, analytics, email delivery, customer relationship management, payment processing, and similar vendors — under contracts that require them to protect your data and use it only for the services they provide to us; (b) professional advisors (lawyers, accountants, insurers) as needed; (c) authorities and other parties when required by law, subpoena, court order, or to protect rights, safety, or property; and (d) any successor entity in connection with a merger, acquisition, or sale of assets.

Cookies and analytics

We use cookies and similar technologies — both first-party and third-party — for essential site functionality (remembering preferences, securing forms) and for analytics. We may use third-party analytics services such as Google Analytics to understand how visitors find and use the site. These services may set their own cookies. You can control cookies through your browser settings, and you can opt out of Google Analytics tracking through Google's opt-out browser add-on. Blocking cookies may affect site functionality.

Data retention

We keep personal information only as long as needed for the purposes described above or as required by law. Tour and inquiry records are typically retained for up to 24 months. Member account data is retained for the duration of your membership and for a reasonable period afterward for billing, legal, and tax purposes. Security camera footage is overwritten on a rolling basis.

Security

We use reasonable administrative, technical, and physical safeguards to protect personal information against loss, misuse, and unauthorized access. No method of transmission over the internet or electronic storage is 100% secure, so we cannot guarantee absolute security.

Your choices and rights

You may request access to, correction of, or deletion of the personal information we hold about you by emailing Membership@colab55merritt.com. Depending on where you live (including Connecticut and other U.S. states with consumer privacy laws), you may have additional rights such as the right to opt out of certain processing, to receive a portable copy of your data, or to appeal a decision we make about your request. We will respond within the time required by applicable law. You can unsubscribe from marketing emails at any time using the link in any message.

Children

The Site and our services are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, please contact us and we will delete it.

Changes to this policy

We may update this policy as our practices evolve. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through the Site or by email where appropriate.
